Terms & Conditions

Effective Date: 29 August 2026

These Terms & Conditions apply to all bookings and journeys made with Plymouth VIP Taxi (“we”, “us”, “our”, “the Company”). By making a booking with us, you agree to these Terms & Conditions.

1. Bookings

  1. All journeys must be pre-booked through Plymouth VIP Taxi.
  2. A booking is confirmed only when Plymouth VIP Taxi has accepted the booking and provided confirmation.
  3. Customers must provide accurate information, including: passenger name; pick-up address; destination; date and time; number of passengers; flight or train details where applicable; and any special requirements.
  4. The customer is responsible for checking that the booking information supplied is correct.
  5. Plymouth VIP Taxi reserves the right to refuse a booking where reasonably necessary.

2. Fares and Payment

  1. The agreed fare will be confirmed at the time of booking where applicable.
  2. Additional charges may apply where the customer changes the journey, requests additional waiting time, makes additional stops, or causes significant delays.
  3. Any additional charges will be communicated to the customer where reasonably possible.
  4. Payment may be made using the payment methods offered by Plymouth VIP Taxi.
  5. Where a payment is required in advance, the booking may not be confirmed until payment has been received.

3. Cancellation

  1. Customers should provide as much notice as possible when cancelling a booking.
  2. Cancellation charges may apply depending on the type of booking, the notice provided and whether the vehicle and driver have already been allocated.
  3. Where a non-refundable deposit or advance payment has been agreed, this may be retained in accordance with the booking conditions provided to the customer.
  4. Special-event, airport, long-distance and pre-paid bookings may be subject to separate cancellation conditions.
  5. Any cancellation made by the customer less than 24 hours before the pick-up time will not be refunded. Any cancellation made by the customer with more than 24 hours’ notice will be refunded 80% of the total value.

4. Waiting Time

  1. Customers are expected to be ready at the agreed collection time.
  2. For airport and railway bookings, waiting arrangements may differ depending on the booking.
  3. Where a driver is required to wait beyond the included waiting period, additional waiting charges may apply.
  4. If the passenger cannot be contacted after a reasonable waiting period, the journey may be treated as a no-show.

5. No-Show

A customer may be considered a no-show where:

  • The driver has attended the agreed collection point;
  • The agreed collection time has passed;
  • The driver has made reasonable attempts to contact the passenger; and
  • The passenger cannot be located or contacted.

A no-show charge may apply.

6. Airport and Travel Bookings

  1. Customers are responsible for providing correct flight or travel information.
  2. Plymouth VIP Taxi will make reasonable efforts to monitor flight information where this service is available.
  3. We cannot guarantee that a journey will be completed within a particular time where delays are caused by traffic, road closures, weather, accidents, airport restrictions or other circumstances outside our reasonable control.
  4. Customers are responsible for allowing sufficient time for check-in, security and other airport requirements.

7. Passenger Behaviour

Passengers must behave in a respectful and lawful manner.

Plymouth VIP Taxi reserves the right to terminate a journey where a passenger:

  • Behaves aggressively, abusively or threateningly;
  • Causes damage to the vehicle;
  • Puts the driver or other passengers at risk;
  • Is excessively intoxicated;
  • Refuses to comply with reasonable safety instructions; or
  • Engages in unlawful behaviour.

Where a journey is terminated for these reasons, the customer may remain responsible for the full fare and any reasonable costs arising from damage or cleaning.

8. Vehicle Safety

  1. Passengers must comply with applicable road-safety requirements.
  2. The number of passengers must not exceed the vehicle’s licensed capacity.
  3. Seat belts must be worn where required by law.
  4. Child seats or other specialist equipment must be requested at the time of booking.
  5. The driver may refuse to carry an item or passenger where doing so would create a safety risk.

9. Luggage and Personal Belongings

  1. Customers are responsible for ensuring that their luggage is suitable for the vehicle booked.
  2. Plymouth VIP Taxi is not responsible for luggage that cannot reasonably be accommodated because the customer has supplied incorrect information about the amount or size of luggage.
  3. Passengers should not leave valuable items unattended.
  4. Property found in a vehicle will be handled in accordance with our lost-property procedures.

10. Pets and Animals

Animals may only be carried where permitted by law and where suitable arrangements have been made.

Assistance dogs will be accommodated in accordance with applicable legal requirements.

11. Vehicle Availability

We aim to provide the vehicle type requested at the time of booking. However, Plymouth VIP Taxi reserves the right to provide a suitable alternative vehicle where circumstances require, including vehicle breakdown, maintenance, availability or other operational reasons.

12. Delays and Unforeseen Circumstances

We will make reasonable efforts to provide the service at the agreed time.

However, Plymouth VIP Taxi will not be responsible for delays or failure to provide a journey caused by circumstances outside our reasonable control, including:

  • Severe weather;
  • Traffic congestion;
  • Road closures;
  • Accidents;
  • Vehicle breakdown;
  • Police or emergency-service restrictions;
  • Airport or railway disruption;
  • Public disturbances;
  • Unexpected road conditions; or
  • Other circumstances beyond our reasonable control.

13. Customer Property and Damage

Customers may be charged for reasonable cleaning, repair or replacement costs resulting from damage to the vehicle or excessive soiling caused by the passenger.

This does not affect any rights the customer may have under applicable law.

14. Complaints

We aim to provide a professional and high-quality service.

Any complaint should be made to Plymouth VIP Taxi as soon as reasonably possible, providing details of the booking and the nature of the complaint.

We will investigate complaints fairly and respond within a reasonable period.

15. Lost Property

Any property found in one of our vehicles will be retained and handled in accordance with our lost-property procedure.

Customers should contact Plymouth VIP Taxi as soon as possible if they believe they have left an item in a vehicle.

16. Privacy and Personal Information

We may collect and process personal information necessary to make, manage and complete bookings, communicate with customers, process payments, provide customer support and comply with legal and licensing requirements.

Personal information will be handled in accordance with our Privacy Policy and applicable UK data-protection legislation.

17. Children and Young Passengers

Parents or guardians are responsible for ensuring that appropriate arrangements are made for children travelling with Plymouth VIP Taxi.

Any requirement for a child seat or other equipment should be communicated at the time of booking.

18. Accessibility

We aim to provide an inclusive service. Customers should advise us at the time of booking of any accessibility requirements so that we can determine whether the requested vehicle and journey can safely accommodate those requirements.

19. Promotions and Discounts

Promotional offers, discount codes and special offers may be subject to additional conditions.

Unless otherwise stated:

  • Offers cannot be exchanged for cash;
  • Only one promotional discount may be used per booking;
  • Promotions may have expiry dates;
  • Plymouth VIP Taxi reserves the right to withdraw or amend a promotion where reasonably necessary.

20. Alcohol

Passengers must comply with all applicable laws relating to alcohol.

Where alcohol is permitted in a vehicle, passengers must behave responsibly and must not cause a safety or licensing issue.

No alcohol will be supplied to anyone under 18. Plymouth City Council’s private-hire operator conditions also impose specific requirements concerning the supply of alcohol in special-event vehicles.

21. Liability

Nothing in these Terms & Conditions excludes or limits any liability that cannot legally be excluded or limited.

Subject to applicable law, Plymouth VIP Taxi will not be responsible for indirect or consequential losses arising from delays or circumstances outside our reasonable control.

22. Changes to These Terms

Plymouth VIP Taxi may update these Terms & Conditions from time to time.

The version applicable to a booking will generally be the version in force when the booking was accepted, unless otherwise required by law.

23. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any dispute will be subject to the jurisdiction of the courts of England and Wales, subject to any mandatory consumer rights that apply.

By making a booking with Plymouth VIP Taxi, the customer confirms that they have read and accepted these Terms & Conditions.
